We are currently looking for an Italian Operations Administrator to join our Client Services & Administration Team. The place of work is Dublin, Ireland.
Octium works with a network of Asset Managers to provide a range of suitable investment options for our policyholders. The Octium group has c. €10 billion of AUM and invests in a wide range of investments including equities, bonds, traditional and alternative funds, structured products and derivatives.
In this role you will report to the to the Team Leader of Client Services & Administration. This is an essential role focused on daily business, business transactions and client relationships. You will be responsible for executing the day to day operational requirements of the business.

Main Responsibilities

  • Process any type of transaction at policy level (i.e., New Business, Top Ups, Switches, Surrenders, Death Claims).
  • Manage policy lifecycle from onboarding to day-to-day BAU requests related to the Italian portfolio.
  • Liaise with Asset Managers, Custodian Banks, and Intermediaries to ensure that client expectations are met and transactions are executed in a timely manner.
  • Entry data to produce business forms.
  • Adhere to SLAs when managing transactions.
  • Conduct due-diligence steps along all transactions received according to Compliance guidelines.
  • Verify and send orders to stakeholders and execute payment instructions.
  • Review and prepare procedures for documents required by Custodian Banks and Asset Managers.
  • Produce and send transaction confirmation letters and valuation statements to clients and Intermediaries.
  • Produce and use business reports for business analysis when required.
  • Coordinate post arrivals and manage post shipments with post services.
  • Assist in projects for new tools implementations and user acceptance testing purposes.
  • Take ownership of any operational query received by the business.
  • Take responsibility for any operational task assigned.
  • Work efficiently to manage workload within a fast-paced environment.
  • Promote a culture of continuous improvement as part of the daily running of the business.
  • Provide a high level of professional and operational behavior.

Your Profile

  • +2 Years’ experience in Operations of Financial Institutions, Brokerage or Life Insurance is desirable.
  • Knowledge in financial-banking environment and well informed about its operativity.
  • Proficiency in Italian and English is required; additional languages, especially German, are a plus.
  • Strong knowledge on Word, Excel and PowerPoint.
  • Attention to details is a crucial skill for the role.
  • Excellent organisational skills.
  • Self-motivated and ability to work on own initiative are a must.
  • Problem solving and decision-making skills.
  • Analytical skills and critical thinking to improve current processes in place.
  • Be highly resilient and adaptable to change, within a fast-paced environment.
  • Understand business need for flexibility and modify behaviour accordingly.
  • Excellent communication skills across all formats (verbal and written), supporting effective internal collaboration and fostering strong professional relationships with business partners.
  • Engaging with others in a respectful and socially appropriate manner.
